Five tasks an AI agent can take off your team today
Five practical places to start with AI agents, from inbox triage to B2B outreach, with what to automate and what to keep a person checking.

The best first tasks for an AI agent are inbox triage, lead qualification, B2B outreach research and drafts, follow-up reminders, and document data entry. All five are repetitive, happen often and have a clear idea of what a good result looks like, so they are easy to check and low-risk to hand over.
You don't need a company-wide AI strategy to get value from an agent. You need one task that eats hours every week. If you're not sure what an agent is yet, start with our guide to AI chatbots vs AI agents.
1. Inbox triage
Shared inboxes fill up with a mix of real enquiries, invoices, supplier messages and noise. Someone has to read all of it just to find what matters.
An agent can read each message, label it, send it to the right person and draft a reply for the common requests.
- Keep a person on: complaints, refunds and anything sensitive.
- Measure: time to first reply, and how many drafts go out without edits.
2. Lead qualification
Good leads go cold while they wait in a queue behind poor ones. An agent can check each new enquiry against your criteria, such as company size, location, budget or service needed. It can then add a score, update your CRM and alert your team when a strong lead arrives.
- Keep a person on: the criteria themselves, and borderline leads.
- Measure: response time for good leads, and how often your sales team agrees with the score.
3. B2B outreach research and first drafts
B2B outreach takes a long time mostly because of the preparation. Someone has to check that a company fits, find something relevant to say and write an opening line that doesn't sound like a template.
B2B outreach automation can take on that preparation. An agent can review a list of target companies, pull public details from their websites, remove poor fits and draft a personal first message for each one.
- Keep a person on: the target list, the offer and final approval, at least until the quality is proven. Check the data, too, because an agent can misread a website.
- Measure: reply rate and meetings booked. Avoid judging it by the number of emails sent.
Sending more messages isn't the goal. Better-researched messages to fewer, better-fitting companies usually protect your reputation and your email domain, too.
4. Follow-up reminders and sequences
Most follow-ups don't get sent because people get busy, not because they don't care. An agent can notice when a proposal has gone unanswered or a lead has gone quiet, then draft a message that refers to the actual conversation. It should stop the moment the person replies.
- Keep a person on: high-value deals and anything that involves pricing.
- Measure: replies and revived conversations per sequence.
We cover how to do this well in our guide to automating follow-ups while keeping them personal.
5. Document data entry and review
Copying details from invoices, forms and contracts into another system is slow and error-prone. An agent can pull out the fields you need, write them into your accounting tool or CRM, and flag anything that looks unusual. For longer documents, it can prepare a short summary for someone to read first.
- Keep a person on: payments, legal decisions and anything flagged as unclear.
- Measure: hours saved and the error rate compared with manual entry.
A good first task is one you can describe in a few sentences, and whose result you can check at a glance.
How to choose which one to start with
Pick the task that scores best on these three questions:
- How many hours does it take each week?
- Is it clear what a good result looks like?
- How much harm would one mistake cause, and would you catch it?
Our simple scoring method walks you through this with your own list of tasks.
How to roll it out safely
Agents can make mistakes, so build trust in stages.
- Draft only. The agent prepares the work and a person approves all of it.
- Partly automatic. Routine cases go through on their own. Unusual ones go to a person.
- Regular checks. Review a sample each month and correct anything that has drifted.
Measure the hours the task takes before you start. Without that number, you won't be able to prove the agent was worth it.
Common questions
Can an AI agent run B2B outreach by itself?
It can do much of the preparation and sending, but we don't recommend leaving it unsupervised. A person should own who you contact, what you offer and how replies are handled. You also need to follow the email and privacy rules in each country you contact.
Do I need to replace my current tools?
Usually not. Agents work best when they connect to the inbox, CRM and accounting tools you already use.
How much does an AI agent cost?
It depends on what it needs to do and how many systems it connects to. AROI quotes AI agents after a free call, based on the actual scope.
